Dessert Policies & Guidelines
Booking & Deposits
A 50% deposit is required to book your order, and it's non-refundable once paid. Your date isn't held until we've received your deposit and you've signed our Dessert Order Agreement.
The remaining balance is due 7 days before your pickup date. If you're booking within 7 days of pickup, full payment is due up front. We accept Visa, Mastercard, American Express, Discover, debit and credit cards, Venmo, Klarna, Shop Pay, Shop Pay Installments, Apple Pay, and Google Pay - we're not able to accept cash or checks. Any applicable California sales tax will show up as its own line on your invoice.
How Far in Advance to Order
- 7 or more days before pickup: standard order
- 5-6 days before pickup: short-notice order, subject to availability
- Fewer than 5 days before pickup: rush order, subject to availability, plus a $25 rush fee
- Fewer than 4 days before pickup: we're not able to take the order
Changing Your Order
Need to change your flavor, size, or design? Just let us know at least 7 days before pickup. Changes made this early are free unless they add cost to your order (a bigger size, more servings, premium decor, etc.) - if that happens, we'll send you a quick updated invoice before moving forward. Once we've started production, changes may no longer be possible.
If you need to move your pickup date, give us at least 7 days' notice and we'll do our best to find a new date that works. Need to shift just the pickup time on the same day? We can usually accommodate that with 24 hours' notice.
Responding to Us During Production
While we're working on your order, we may need something from you - approving a design proof, confirming your final guest count, or letting us know about any allergies. We ask that you get back to us within 24 hours of that request.
If we don't hear back in time, we'll move forward using our best professional judgment so your order stays on schedule. We're not able to offer a refund or redo if that happens, since the delay was outside our control.
Cancellations
Cancel 7 or more days before pickup, and your deposit is forfeited (it's non-refundable), but anything you paid beyond that will be returned to you.
Cancel less than 7 days before pickup, and everything paid toward the order - deposit included - is forfeited.
Pickup
We're pickup only right now - we don't offer delivery. Pickup runs Friday through Sunday, 9:00 AM to 7:00 PM, and every order gets a 15-minute pickup window.
Running a little late? A $15 late fee applies once your window closes. If more than 30 minutes pass with no pickup, your order is considered forfeited, with no refund and no rescheduling - so please plan to arrive on time, or send someone in your place. Anyone you send to pick up on your behalf is treated the same as if you picked it up yourself, so make sure they know how to transport and care for it.
Please take a moment to look over your order before you leave - that's the easiest time for us to fix anything. We also photograph every order right at handoff, as our record of how it looked when it left us.
Caring for Your Order After Pickup
Once your order is in your hands, it's your responsibility to transport and store it safely. A few quick tips:
- Keep it on a flat, stable surface - not a car seat or your lap
- Ride in a clean, air-conditioned vehicle, away from direct sun and heat
- Keep it away from anything loose that could shift or bump it
- Refrigerate it once you're home, following the storage instructions we provide
Because so much of a dessert's final look and structure depends on what happens after it leaves our hands, we're not able to take responsibility for damage, melting, or shifting once pickup is complete - whether that happens in the car, at your venue, or at home.
Color, Dye & Staining
Exact color matching can vary a bit from photo to cake - screens, lighting, and food coloring all behave a little differently in real life. Darker or more vibrant shades (think reds, blacks, and blues) sometimes need extra food coloring, which can very slightly affect taste.
Worth knowing: food coloring and dye can stain fabric, skin, linens, furniture, and countertops on contact, and can temporarily tint teeth and lips when eaten. We're not able to take responsibility for any staining this may cause, so it's worth keeping napkins and a stain-conscious setup handy for darker designs.
Serving Sizes
Our servings are based on the industry-standard 1" x 2" slice. We recommend ordering 5 to 10 servings beyond your expected guest count, just in case. We're not able to guarantee enough servings if slices end up larger than standard, cutting differs from our guide, or your guest count grows - a cutting guide is provided to help.
Design & Inspiration Photos
We love inspiration photos, but we don't create exact replicas of another artist's work - that's just not something we do, out of respect for the original creator. We'll use your photos as a reference for theme, color, and overall vibe, then bring it to life in our own style.
That means the final design may look a little different from the inspiration photo, due to our artistic take, ingredient availability, or how the design translates to cake. We may also substitute colors, florals, or decorative elements when needed. These small variations are part of the handmade process and aren't grounds for a refund.
What We Offer
Our cakes are three layers, finished in American buttercream in the flavor you choose. We don't currently offer fondant or multi-tiered cakes.
Our Recipes & Designs
Our recipes, techniques, and cake designs are our own - developed and refined by us. Ordering a dessert doesn't include the rights to reproduce our recipes or techniques elsewhere.
Bringing Your Own Toppers or Decor
Planning to supply your own topper, florals, or decorative pieces? Just get them to us at least 3 days before your pickup date so we have time to incorporate them properly. Anything that arrives later may not make it onto the final design. Please also make sure you have the rights to use anything you provide (images, logos, etc.) - we're not responsible for items brought in without proper permission.
Allergies & Our Kitchen
Fueled by Flour is a licensed California Cottage Food Operation, which means we bake out of a home kitchen. As required for cottage food businesses, that kitchen isn't inspected the same way a commercial restaurant kitchen is.
We're not a dairy-free, nut-free, or gluten-free kitchen, and everything is made using shared equipment and surfaces. Our products may contain or come into contact with milk, eggs, wheat, soy, peanuts, tree nuts, fish, and shellfish. We take care to reduce cross-contact, but we can't guarantee any item is completely allergen-free, and we don't offer allergen-free substitutions.
Please let us know about any guest allergies or food intolerances in writing on your order form - placing an order means you understand and accept the risk of possible allergen exposure.
Non-Edible Decorations
Some designs include non-edible pieces like dowels, wires, florals, or toppers. These need to come off before serving - please don't eat them!
Enjoying & Storing Your Dessert
Our desserts taste best within 24-48 hours of pickup. Please follow the storage instructions we provide - quality can suffer if it's stored improperly or enjoyed too far past that window.
If Something's Not Right
Notice a problem? Reach out in writing within 24 hours of pickup, and please hold onto at least 90% of the product so we can take a look. We're not able to offer cash refunds - if we determine an issue is on us, we'll make it right with store credit toward a future order.
A change of mind, personal taste, minor handmade or color variations, or differences from an inspiration photo aren't grounds for a refund or credit - and neither is damage that happens after pickup.
Photos & Marketing
By ordering with us, you're giving us the OK to photograph your finished dessert and share it on our portfolio, website, social media, and marketing.
Getting in Touch
Our business hours are 9:00 AM to 6:00 PM daily, and we aim to respond within 48 hours (a little longer during holidays, presales, and busy pickup weekends). So we can give every potential client the same attention, pre-booking conversations are capped at 10 message exchanges before we'll ask you to move forward with booking.
Respecting Each Other
We're a small business, and we treat every client with care and respect - we ask for the same in return, whether we're chatting online or meeting in person at pickup. Harassment, threats, or abusive behavior of any kind won't be tolerated, and we reserve the right to end an interaction, decline to release an order, or decline future service if that line gets crossed.
Tastings
We release cake tasting boxes quarterly, available to pre-order during one designated presale weekend each quarter. We don't currently offer 1:1 consultations or complimentary tastings for custom orders.
If Life Throws a Curveball
On our end: if illness, an emergency, or something else outside our control ever keeps us from finishing your order, we'll reach out as soon as we can and make it right - whether that's a referral to another local baker, a full refund, or rescheduling if that works for you.
On your end: our standard cancellation policy applies in general, but if your event is genuinely cancelled or postponed due to circumstances outside your control, we may offer a one-time reschedule or store credit instead, at our discretion.
A Few More Things Worth Knowing
Bookings and store credit are just for you - they can't be transferred or resold to someone else. This page is a friendly summary of our policies; the complete legal terms, including our full liability and dispute resolution terms, are laid out in the Dessert Order Agreement you'll sign when you book, and that signed Agreement is what officially governs your order.
Questions?
If anything above isn't clear, reach out before you book - we're always happy to walk through it with you.
